How to Configure Fixed Schedules in Weplanify

A fixed schedule (or recurring schedule) allows you to define an employee’s regular working hours once so they can automatically be reused within the planning system. Instead of manually recreating schedules every week, Weplanify automatically applies the configured recurring schedule for each employee.

This feature is especially useful for:

  • teams with regular schedules,
  • fixed rotations,
  • 2-shift or 3-shift operations,
  • employees working across multiple locations,
  • or organizations with recurring working hours.


Step 1 : Open the Employee Profile

From the left-side menu, click on Employees.

The employee list will appear. Select the employee you want to configure.

Scroll down to the Schedules section.

You will find:

  • a summary of the current schedule,
  • working days,
  • configured hours,
  • breaks,
  • and a Modify button to open the schedule editor.

Step 2 : Open the Recurring Schedule Editor

Click on Modify.

An editing window will open displaying the 7 days of the week:

  • Monday
  • Tuesday
  • Wednesday
  • Thursday
  • Friday
  • Saturday
  • Sunday

Each day includes a checkbox:

  • checked days are considered working days,
  • unchecked days are automatically treated as rest days.

You can enable or disable any day depending on the employee’s schedule.

💡 Tip: the Copy to All Days button allows you to quickly duplicate the same schedule across the entire week.


Step 3 : Configure Daily Working Hours

For each working day, several fields are available:

Start Time

Defines the employee’s shift start time.

Time slots are available in 15-minute intervals.

End Time

Defines the employee’s shift end time.

Break Duration

Defines the break automatically deducted from working hours.

Examples:

  • 15 min
  • 30 min
  • 45 min
  • 1h
  • 1h30

Position

Defines the job position assigned during that day.

Examples:

  • Operator
  • Salesperson
  • Accountant

Site

Defines the work location assigned for that day.

Examples:

  • Demo Agency
  • Afro Shop
  • Warehouse

Position Role

Optional field used to specify the exact operational role within the schedule.

Each day can have completely different working hours.

Example:

  • evening shifts at the beginning of the week,
  • daytime shifts at the end of the week,
  • rest days in the middle of the week.

Example configuration:

  • Monday: 3:00 PM → 11:00 PM
  • Tuesday: 3:00 PM → 11:00 PM
  • Wednesday: Rest
  • Thursday: Rest
  • Friday: 7:00 AM → 4:00 PM
  • Saturday: 7:00 AM → 4:00 PM
  • Sunday: 7:00 AM → 4:00 PM

This flexibility makes it easy to manage:

  • rotating schedules,
  • split shifts,
  • night teams,
  • or multi-site operations.


Step 4 : Save the Permanent Schedule

Once the schedule is configured, click the Permanent button located at the bottom of the window.

This button:

  • saves the schedule,
  • and makes it recurring automatically.

The schedule will remain permanently assigned to the employee until modified.

A confirmation message will appear:
Recurring schedule successfully saved

⚠️ Important: if you click Cancel, your changes will not be saved.

Step 5 : View and Export the Schedule

After saving:

  • the schedule becomes visible in the employee profile,
  • working hours are displayed by day,
  • breaks, positions, and sites remain accessible at any time.

You can:

  • modify the schedule whenever needed,
  • or export the schedule as a PDF file.

The PDF button generates a printable version of the employee’s schedule.

This is useful for:

  • office display,
  • employee sharing,
  • or administrative archiving.
