On WePlanify, clocking in is not a standalone module: it automatically feeds your schedules, attendance sheets, and entire HR management. Four clock-in methods are available, usable on their own or combined according to employee profiles and your company's sites.
🔒 Important: All WePlanify clock-in modes include GPS location verification at the moment of clock-in. This ensures that each employee is clocking in from an authorized location.
1. Clock in by scanning a QR code
Best for: offices, branches, workshops, retail stores with a fixed location — employees using their own smartphones.
Steps
- Display your company's unique QR code at the workplace entrance (reception, locker room, workshop).
- Upon arrival, the employee opens the WePlanify app on their smartphone.
- They scan the QR code using the built-in scanner in the app.
- WePlanify automatically verifies their GPS position.
- The clock-in is recorded instantly.
2. Clock in with a badge through the kiosk app
Best for: companies whose employees don't use their personal smartphones at work — manufacturing, construction, restaurants, hospitality, security.
Steps
- Install the WePlanify kiosk app on a dedicated device (tablet or company smartphone) placed on site.
- Provide each employee with their personal QR code badge.
- Upon arrival, the employee presents their badge in front of the kiosk device.
- WePlanify identifies the employee and verifies the location (based on the fixed, known position of the kiosk device).
- The clock-in is recorded.
3. Clock in with facial recognition
Best for: companies that require strong identification security, or want to eliminate the risk of buddy punching (one employee clocking in for another).
Steps
- Pre-configure the clock-in code in the employee's profile.

- The employee enters their clock-in code on their smartphone or on the shared device installed on site.
- They position their face in front of the camera for biometric scanning.
- WePlanify validates the identity and verifies the GPS position.
- The clock-in is recorded.
4. Clock in by geolocation
Best for: field teams — sales reps, service technicians, delivery drivers, mobile or multi-site teams.
Steps
- The employee opens the WePlanify app on their smartphone.
- An interactive map displays their current position:
- 🟢 Green: they are at the expected work location → they can clock in.
- 🔴 Red: they are outside the authorized zone → clock-in is blocked or flagged for manager review.
- Once in the green zone, they confirm the clock-in with a single tap.
- The clock-in is recorded with their exact GPS position.

What if the employee's geolocation is disabled on their phone? WePlanify detects this and blocks the clock-in, prompting the employee to enable location services. No clock-in can be recorded without location verification.
What happens if an employee clocks in from the wrong location? The clock-in is recorded but flagged as "out of zone" in the manager's dashboard, who can then approve or reject it.
Can I switch clock-in methods during the year? Yes, anytime from your WePlanify admin panel. Employees are automatically notified of the change.
Does clock-in work without an internet connection? Yes, WePlanify includes an offline mode. The clock-in syncs automatically once the connection is restored.
