Terms of service

The rules between Weplanify and the companies that use it: the trial, the subscription, data, support and the end of the contract.

Purpose

These terms govern the use of Weplanify, software for scheduling, time tracking, leave, documents, payroll and costs, available at app.weplanify.io and through the mobile apps. They apply to the subscribing company, “the client”, and to the users it invites.

Weplanify is published by WEPLANIFY SARL (Senegal) and XIPINA LLC (Wyoming, United States). Creating an account or using the service means accepting these terms. A contract signed with a client takes precedence over them for the matters it covers.

Access and account

  • The client creates its account at app.weplanify.io. It appoints its administrators, who invite managers and employees and grant them access, module by module.
  • Employees sign in to the mobile app with their phone number, without a password.
  • Each user keeps their access to themselves. The client is answerable for actions taken from its users’ accounts, and removes access for people who leave the company.

Free trial

Each new account gets a 30-day free trial, with no card required and guided onboarding included. At the end of the 30 days, access is suspended until a plan is taken out. Since no card was requested, nothing is charged.

Subscription and billing

  • Weplanify is billed per tracked employee per month, in CFA francs, according to the chosen plan. Current prices are those on the Pricing page.
  • A billed employee is one tracked during the period: scheduled, clocked or paid. Management accounts (managers, HR, directors) are not billed.
  • Up to 20 employees, each plan has a minimum monthly charge, shown on the Pricing page.
  • From 250 employees, the price is set with the client.
  • The subscription has no minimum term. The client can switch plans at any time, in either direction: the change takes effect immediately and billing is prorated.
  • Onboarding and updates are included.
  • Payment is by bank card (Stripe) or mobile money (PayDunya). For a custom price, it can also be made outside the platform, by bank transfer or cheque.
  • An unpaid subscription leads to access being suspended until payment is made.

Client obligations

  • Use Weplanify in compliance with the laws of its country, including employment law and personal data protection.
  • Inform its employees of how their data is used, in particular clocking in by geolocation or face recognition, and complete the formalities required by the data protection authority (in Senegal, the CDP).
  • Check the data it enters and review payslips before approving them: they are calculated from its settings and its data.
  • Not attempt to bypass the service’s security, access another client’s data, or resell access to a third party.

Client data and portability

  • The data entered into Weplanify belongs to the client.
  • Weplanify processes it on the client’s behalf, as a processor, under the conditions described in the privacy policy.
  • The client can export its data at any time, in a format its accountant can read; the monthly time report exports to Excel.
  • When the subscription ends, access runs to the end of the current period, leaving time to export. The data is then deleted.

Availability and support

  • Weplanify takes care to keep the service available at all times, without being able to guarantee there will be no interruptions: maintenance, updates, a provider or network outage.
  • On the phone, the time of a clock-in is recorded even without a network, and sent as soon as the connection returns.
  • Onboarding is guided: sites, teams, working hours and payroll rules are configured with the client.

Liability

  • Weplanify provides a tool. Management, payroll and filing decisions remain the client’s, who reviews and approves what the software calculates.
  • Weplanify is not answerable for the consequences of inaccurate data entered by the client, of use contrary to these terms, or of an interruption caused by a provider or the network.

Termination

  • With no minimum term, the client can stop whenever it wants. Access runs to the end of the current period, then the data follows the portability rule above.
  • Weplanify may suspend access in the event of non-payment, and end it in the event of a serious breach of these terms by the client.
